Step-by-Step: Filing the EMP501

Step 1: Reconcile before you declare

Add up all twelve EMP201 declarations (PAYE + UIF + SDL) and compare them to your payroll reports and to the payments SARS actually received (check your Statement of Account on eFiling). Fix variances first – a mismatched EMP501 is rejected or flagged.

Step 2: Prepare certificates in e@syFile Employer

Import or capture each employee’s IRP5/IT3(a) in e@syFile Employer, SARS’s free payroll reconciliation software. Validate the file – e@syFile flags missing tax numbers, invalid ID numbers and arithmetic errors.

Step 3: Submit

Submit the declaration from e@syFile directly to SARS (or via eFiling for small payrolls under 50 certificates). Keep the submission confirmation.

Step 4: Issue IRP5s to employees

Give every employee their IRP5 by 31 May. Employees then file using our individual tax return checklist.

  • EMP201 payments not matching EMP501 totals – allocate payments correctly using the PRN on each EMP201.
  • Duplicate or missing employee tax reference numbers.
